Job Description

JOB SUMMARY:

The Director of Advancement Services is responsible for gift processing and information services. The incumbent will report directly to the Assistant Vice President of Development, but maintains close working relationships with the Vice President of Institutional Advancement, school based Development Officers, central Development staff, the Alumni Association, and the Foundation. The Director of Advancement Services works closely with the general Advancement Services staff to deal with a wide variety of functions relating to the development, implementation, maintenance, documentation, use, and support of computer-based Alumni Development information systems.


PRINCIPAL RESPONSIBILITIES:

  • Management oversight of the development and implementation of the University’s fundraising database and prospect management system.

  • Preparing reports, maintaining records, logging gifts in the database, and direct supervision of data entry specialists.

  • Receipting and acknowledging of gifts and pledges from private and public sources.

  • Running, maintaining and developing reports, and queries to monitor the integrity of data stored in the database.

  • Developing database policies and procedures, and in performing a liaison role with Advancement Service’s constituents.

  • Developing protocols for database security and determine who requires access to the various screens and tables.

  • Running all reports requested by the development staff in a timely fashion.

  • Supervising the timeliness and efficiency of processing and acknowledging of gifts, pledges, pledge payments, matching gifts, memorial gifts, and other contributions to the University.

  • Interacting with Development staff regarding the processing, reporting, and logging of gifts, the processing of requests for prospect research, and other data maintenance activities.

  • Overseeing special, long-term database projects that involve updating multiple records.

  • Serve as a liaison between Coppin and the University System of Maryland Advancement Services Office.

Required Qualifications EDUCATION:
  • A bachelor’s degree is required.


EXPERIENCE:

  • A minimum of five years of experience in a higher education environment.

  • Strong knowledge in the use of Ellucian, CRM, Advance Data Management System.

Preferred Qualifications

SKILLS, KNOWLEDGE AND ABILITIES:

  • Comprehensive understanding of gift processing, acknowledgments, prospect management, biographical maintenance, and other data maintenance activities.

  • Advanced knowledge of basic computer software to create documents, spreadsheets, timelines, and reports.

  • Ability to work effectively and cordially with a wide range of individuals within and outside of the University.

  • Ability to train, motivate, and manage staff in a high volume data entry environment.

  • Ability to learn, interpret, and apply a variety of complex policies and procedures with minimal guidance.

  • Excellent verbal, written, and organizational skills required.

  • Must be a self-motivated, solution-oriented, and detailed individual.

  • Exemplary customer service in all exchanges with the University and community.

  • Must possess a high level of energy and a can do attitude.
